A Single Source of Truth (SSOT) is the practice of consolidating all product data into one central system that serves as the authoritative reference for every team, channel, and output. Instead of maintaining separate versions of product information across spreadsheets, ERP systems, and shared drives, every stakeholder works from, and publishes from the same place.

If your website, your retailer feed, and your print catalog all pull product data from the same system, that system is your single source of truth.

Why it matters in practice

Without a single source of truth, product data tends to fragment. Marketing has one version of a product description, the e-commerce team has another, and the export sent to a marketplace last month is different from both. Errors multiply silently, and fixing them means tracking down every place the data lives.

A single source of truth eliminates that problem at the root. When a product specification changes, it changes once, and every channel reflects it automatically.

Single source of truth and PIM

A PIM system is the most direct way to establish a single source of truth for product data. It centralizes incoming data from suppliers and internal teams, enforces data quality standards, and controls what gets distributed to which channels. The PIM does not replace systems like ERP or DAM, but connects them, acting as the definitive record for all product-related content.
